Who we are

The Hoopers Academy provides basketball coaching in Melbourne, Victoria. You can contact us about anything in this policy at channai@thehoopersacademy.com.au.

What we collect

When you use our enquiry form

• Your name
• Your email address
• Which type of session you are interested in
• Whatever you write in the message field

That is everything the form asks for. We deliberately do not ask for a player's name, their age, or any health or injury information through this website. If we need those details we ask you directly once we are arranging a session.

Automatically, when you visit

This website is built on Squarespace, which records standard technical information such as your IP address, browser type, the pages you view and how long you stay. Squarespace also sets cookies. You can control cookies through your browser settings.

Later, if you book with us

Once you become a client we collect what we need to run sessions safely. That includes the player's name and age, a parent or guardian's contact details, an emergency contact, and any injury, medical condition, allergy or medication we need to know about. We collect this from you directly, not through the website.

Why we collect it

• To keep our own business records

We do not sell your information, and we do not share it for anyone else's marketing. We do not send marketing email.

Who else handles your information

Running a website means other companies touch some of your data:

These services are based overseas, including in the United States, so your information may be stored or processed outside Australia. Their own privacy policies govern what they do with it.

How long we keep it

We keep enquiries that do not lead to a booking for 12 months, then delete them.

If you become a client we keep your records only for as long as we are coaching you. Once we finish, we delete them.

The one exception is records we are legally required to hold on to — invoices and payment records, which Australian tax law requires a business to keep for five years. Those contain your name and what was paid, nothing about the player.

Children's information

Most of our players are under 18. Where a player is a minor we deal with a parent or guardian, and we expect enquiries to come from them.

We do not knowingly collect information about a child through this website. The enquiry form does not ask for a player's name or age. Any information about a child is given to us directly by a parent or guardian when a session is being arranged.

If you believe a child has given us information through this website, contact us and we will delete it.

Photographs and video

We photograph and film sessions, and we sometimes post that content on this website and on our social media accounts.

We do not do this without permission. Where a player is identifiable, we ask a parent or guardian for written consent first, and we record it. Consent is entirely optional and separate from booking: you can book sessions and decline photography, and it changes nothing about the coaching.

You can withdraw consent at any time by emailing us. We will stop using new images of that player, and we will remove existing ones from our website and our own social media accounts. We cannot always remove copies that other people have already shared or saved.

Your choices

You can ask us to:

• Tell you what information we hold about you
• Correct anything that is wrong
• Delete your information, where we are not required to keep it

Changes to this policy

If we change this policy we will update the date at the top of this page.
